VCU is seeking an Assistant Director of Ticket Operations

Summary:

The Assistant Director of Ticket Operations is responsible for assisting in the management and maintenance of the Athletics Ticket Office, coordinating all day-to-day functions of the Ticket Office, including hiring, training, scheduling, and supervising of hourly staff and graduate assistants, serving as the ticket supervisor for select home athletic and all special events; and direct the gift acknowledgement process for all gifts to the Ram Athletic Fund, including reconciliation and serving as liaison with the Office of Development and Alumni Relations. Reporting to the Associate AD for External Operations, the Assistant Director of Ticket Operations works to further VCU Athletics' mission to win conference and national championships, provide a first-class student-athlete experience, serve as a source of pride for the University and community, and cultivate graduates who excel as leaders.

Typical Duties

Ticket Operation Management

●TICKETING SYSTEMS MANAGEMENT:
○Assist in the management and maintenance of the Paciolan ticketing system for all applicable sports and special events; including the development, coordination, and distribution of ticket sales for VCU Athletic home and select away athletic events.
○Manage the set-up and operation of VCU Athletics' eVenue page, the online ticket sales system through Paciolan, to ensure customers and VCU students experience a simple and easy buying process.
○Strategically implement new ticketing technologies to the operation to enhance the customer and donor experience during the ticket-buying process.

●FINANCIAL REPORTING:
○Conduct the daily settlement and reconciliation of ticket and event revenue for deposit in compliance with University policies.

●OFFICE MANAGEMENT:
○Solely manage select home athletic and special events from the event planning stage with the facilities department through the event audit and reconciliation following the event. Events managed independently include VCU Baseball, Virginia High School League State Championships (Basketball, Volleyball, and Cheerleading), and all other special events held at VCU Athletics facilities.
○Supervise, train, mentor, and schedule all Ticket Office Graduate Assistants and part-time office and game-day employees.
○Serve as the primary contact for student ticketing; including set up of an online claim system, student ticket lottery management, ticket distribution, and customer service issues.
○Support in the fulfillment of season ticket renewals, allocations of season and individual games, and parking orders for donors and season ticket holders.
○Help solicit new season ticket holders and VCU Ram Athletic Fund members while working closely with the Athletic Department's development staff to coordinate giving levels and seating locations.
○Serve as the Athletic Department's Change Fund & Petty Cash Custodian and department liaison with the Cashiers Office.

Ram Athletic Fund Gift Processor

●Independently maintains and provides reporting on Ram Athletic Fund financials to the Assistant AD for Ticket Operations to ensure season ticket eligibility is met before renewals
●Process all gifts for the VCU Athletics Annual Fund, sport-specific giving, capital projects, and event-specific gifts under University policy. In addition to gift processing, this individual will be responsible for the reconciliation of revenue from Ram Athletic Fund events processed through the Paciolan Ticketing System.
● Manage donor data and record management in Paciolan Ticketing/Donor Software and RADAR (Blackbaud CRM).
●Direct the gift acknowledgment process for all gifts to the Ram Athletic Fund.
●Develop, manage, and maintain the Ram Athletic Fund Events webpage.
●Serve as department liaison with the Office of Development and Alumni Relations.

Typical Education and Experience

●A Bachelor's degree;
●Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU; and
●Must be highly organized and efficient and exercise professional judgment when interacting with customers to ensure a high level of customer service

Preferred Qualifications

●An advanced degree or training and work experience at a level that equates to an advanced degree;
●Experience with Paciolan Ticketing software system; and
●Experience working within a Division I athletic ticket office.
