Administrative Specialist (Administrative Associate 2 – MR04)

This position provides administrative support for the Admissions office and specifically the management team (Director, Associate, & 3 Asst. Director). The Administrative Support Assistant will oversee appointments for the management team, process invoice/billing payments through IRIS, provide budgetary support & reporting through IRIS, process travel reimbursements for exempt staff (10 people), enter payroll, coordinate student appeal decisions, and serve as support for the Residency appeal committee.

Duties and Responsibilities:

Provides general administrative support duties (scanning documents, indexing transcripts, scheduling appointments, follow-up emails with prospective students or parents); maintains University budget paperwork for 2 separate accounts (reconciling charges, initiating payments to vendors, creating purchase orders, verifying procurement card purchases, etc.); assists the Director with admission appeals review, discipline reviews, citizenship reviews, and coordinates the Residency appeal committee calendar & paperwork; completes necessary travel reimbursement processes for 10 exempt staff members; confirms attendance at college fairs and other recruitment events; completes bi-weekly and monthly payroll functions for all staff (full time & part time).

The ideal candidate will possess the following:
  • Organizational skills are needed in order to handle multiple tasks for numerous people
  • Excellent communication skills written & verbal when interacting with customers
  • Ability to prioritize job duties and ability to work effectively in a fast-paced environment
  • Ability to handle multi-line telephone system
  • Computer skills necessary to complete payroll & budget tasks

Minimum Qualifications: High school diploma or GED; 2-3 years of experience in a fast-paced office setting.

Preferred Qualifications: Experience with Banner systems as well as IRIS, budgets, payroll systems, etc.
