Job Summary
The Facilities Management Specialist is responsible for overseeing all internal and external meetings at the college. This role will offer support to all departments in the planning and implementation and set-up of events at all Lexington campuses, in adherence to KCTCS and BCTC business and facilities policies and procedures. The Event Coordinator will manage requests for the use of facilities by outside parties, develop Memorandums of Agreement (MOAs) and collect all necessary documentation for the rental. Additional administrative services performed by this position including managing an inventory of furniture and decorations to be used at events and special function and serving on college event planning committees.
Job Duties:
1. Coordinate campus activities and participate in operations duties as assigned for the Lexington campus on a day-to-day basis.
2. Serve as the point of contact for all internal meetings and assist in the planning and implementation of the events.
3. Monitor meeting and event reservations to make sure all necessary Facilities and Operations work orders have been placed and scheduled, and all set-ups have been performed.
4. Review campus activities and participate in operations duties as assigned for the Lexington campus on a day-to-day basis.
5. Manage an inventory of furniture and decorations to be used at events and special functions (pipe and drape, event tables, tablecloths, place settings, etc.)
6. Coordinate facilities rentals for internal and external groups including Memorandums of Agreement (MOAs), confirmation of insurance and room preparations.
7. Ensures compliance with policies and procedures related to Regional Campus facilities rentals to external groups.
8. Serve as a reservation manager for the colleges room scheduling software Archibus. Work with reservation requestors to resolve any issues that may arise.
9. Set Building Automation System scheduling for special events and meetings.
10. Oversee vending at all college campuses.
11. Serve on the colleges Sustainability Committee and act as the liaison for the college’s sustainability goals.
12. Offer training and assistance with reservations to college Faculty and Staff.
13. Other duties as assigned.
Minimum Qualifications:
Bachelor’s degree (related field), and two years related experience, or equivalent.
