Position Summary

Administer and coordinate a variety of business and fiscal functions for the division of academic affairs and the office of the provost. Work is characterized by a variety of business, fiscal and administrative functions. The range of duties includes, but is not limited to, financial management, purchasing, and technology/data management.

Minimum Required Education and Experience

A bachelor's degree plus 1-3 years experience and/or training; or an associate's degree plus 5-7 years experience and/or training.

Preferred Education and Experience

Previous experience in higher education preferred.

Job Duties
  • Data Management
  • Manage the student perceptions of teaching (SPoTs) process through the utilization of Explorance Blue software
  • Update faculty data in Colleague (including current department chairs, updating faculty data screen with data concerning track, promotion year, decision year, rank, etc.)
  • New faculty data collection
  • Work with Information Technology to ensure faculty personnel files in E-Docs system are current and have all update information (i.e. GPA report, SPoTs, faculty evaluations, etc.)
  • Run GPA reports each semester/term
  • Serve as a backup for updating the provost office website and corresponding webpages to keep information current
  • Serve as the Technology Champion for the division of academic affairs
  • Serve as point of contact for any technology related question pertaining to Explorance Blue, EDocs, provost website management, etc.
  • Serve as backup for updating the online faculty handbook
  • Assist with updating the university curriculum committee website
  • Business Process and Records Management
  • Startup funds and FR&D budget and tracking of allocation and compliance
  • P-Card reconciliation (including verifying transactions and receipts for accuracy) as it relates to startup funds. Will also serve as backup to the program assistant for transaction upload as needed.
  • Assist with supporting the office of sponsored programs with the tracking and compliance of grants
  • Office Management
  • Manage office assignment process including space allocation and upfit
  • Maintaining online portal for office assignments; provide training as necessary
  • Coordinate logistics of office moves
  • Serve as backup to the executive assistant for the provost and vice president of academic affairs when needed (including greeting visitors and answering the phone in Alamance 120)
