Job Description:


Budget Title: Staff Assistant (SL-2)

Salary: $48,000 - $52,000

The Systems Science and Industrial Engineering Department is seeking professional level administrative support for the Department's faculty, staff, current and prospective graduate students. The Staff Assistant will report to the Department Chair with a dotted line to the Administrative Coordinator. The Staff Assistant will provide general support as needed, with the following specific areas of responsibility:

Graduate Program Support
  • Assist with TA/GA/RPA appointments, working closely with the Dean's Office Staff Associate for Employee and Graduate Student Resources
  • Assist with graduate student physical space/office assignments
  • Manage inquiries from prospective SSIE graduate students
  • Assist with reviewing graduate applications and admissions
  • Attend graduate recruitment events
  • Support international partnerships
  • Assist with various student awards and fellowships by helping identify qualified candidates, communicating with faculty, gathering application materials, completing submission and maintenance of records
Fiscal Management
  • Provide oversight of the Department's IFR, Research Foundation and Binghamton University Foundation accounts
  • Development of the department's budget and track expenses
  • Oversight and planning for student hiring expenditures
  • Coordinate and process purchasing & contract payments
  • Assist faculty with university startup account spending/management
  • Arranging/processing faculty travel and reimbursements as needed
  • Financial reporting
Accreditation and Assessment Support
  • Manage department documentation related to Undergraduate ABET Accreditation and Middle States Accreditation for Undergraduate and Graduate Programs: Assist faculty with annual review of rubrics/measures/targets, assessment data collection each semester, population of WEAVE online and collaboration with Office of Institutional Research & Assessment
General Department Administration
  • Oversee course building, event planning, taking meeting minutes, web updating, proofreading proposals, budgeting and reimbursement, setting up travel, interview schedules, on-boarding, problem solving, facilities requests, supply procurement and providing back-up assistance to the main office, etc.
  • Attend department meetings, graduate administrator meetings and/or other SSIE Department meetings as needed to complete job activities
  • Assist with ISE Undergraduate Program related activities, such as transfer application management, ISE minor applications, course petitions, awards and fellowship procedures, collaborative partnerships with domestic and international institutions, etc.
  • Maintain written desk procedures
Computer Systems
  • Maintain expertise in Google Suite and/or Microsoft Office (primarily Word & Excel), Banner, BU Brain, Weave, Slate, and other University information systems and/or databases

Requirements:

  • A Bachelor's Degree in Business Administration or related field with a minimum of 2 years related work experience
  • Excellent computer skills including strong proficiency in Google Suite and/or Microsoft Office
  • Must possess strong oral/written communication skills and technical expertise in business management tools including spreadsheets, word processing, calendar tools, and presentation software.
  • Must be highly motivated and detail oriented with the flexibility to multi-task and the ability to change direction as needs require; able to work well under pressure, solve problems along with the ability to ensure University policies and procedures are followed
  • Must be very personable with demonstrated strengths in interpersonal relations and the ability to collaborate and communicate complex material effectively with a diverse group of individuals including faculty, staff, senior administrators, community partners, students and visitors
  • Ability to work both independently and as part of a cohesive team
Preferred:
  • Experience working in a variety of University and SUNY Systems such as Banner, Slate, and BU Brain. Training is available for these systems
  • Demonstrated success in interacting effectively with a wide cross-section of stakeholders (faculty, staff, prospective and current students)
