University Advancement and External Relations

JOB SUMMARY:

Reporting to the Vice President of University Advancement and External Relations (VP), the Executive Director of Advancement Services (ED) is an integral leader within the Office of University Advancement and External Relations (ADVEX), providing leadership and strategic oversight of the Advancement Services program to achieve the University's fundraising and engagement goals.

The ED is responsible for leading the administrative and financial operations, database management, software use, policies and procedures, prospect research and management, reporting, and professional development of the Advancement Services team.

As the database and research expert in ADVEX, the ED will provide critical infrastructure and lay the foundation for the successful execution of fundraising campaigns, major and planned giving, annual giving, engagement activities, and donor relations.

SALARY INFORMATION:

In compliance with New York's Pay Transparency Act, the annual base salary range for this position is $110,000 - $120,000. Adelphi University considers factors such as departmental budgets, scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

REPORTS TO: Vice President of University Advancement and External Relations

RESPONSIBILITIES & DUTIES:
  1. Ensure compliance with Internal Revenue Service (IRS) regulations, federal and state laws, Donor Bill of Rights, Council for Advancement and Support of Education (CASE) standards for reporting and gift acceptance, CAE, AFP and other industry guidelines and standards.
  2. Maintain a user-friendly CRM database (Raiser's Edge NXT) that meets the needs and expectations of advancement, alumni engagement, donor relations and stewardship, and advancement communications staff; educate and advise the ADVEX team on best practices for utilizing the CRM to accomplish departmental goals; provide training as necessary.
  3. Lead and build out a robust prospect research and management operation; work closely with gift officers to analyze portfolios; actively identify new leadership, major, and planned giving prospects and assign them for cultivation; manage third party partners as needed.
  4. Create and implement a system for accurately recording gifts that allows for timely and efficient acknowledgement and reporting with internal and external partners.
  5. Oversee the creation, distribution, and accuracy of reports for ADVEX, Board of Trustees, President's office and other internal and external constituencies as needed.
  6. Prepare regular fundraising analyses; apply quantitative reasoning to identify trends in data; benchmark with other institutions when possible;
  7. Develop in-house models to identify new and upgrade donors.
  8. Oversee annual data submission to the CASE VSE Survey.
  9. Oversee and ensure data integrity of scheduled appends and database maintenance.
  10. Reconcile monthly figures, including pledges, with the University Finance Office.
  11. With the Office of Institutional Research and Strategic Analytics, review and update University Dashboards on a regular basis.
  12. Research and benchmark with peer Advancement Services programs to ensure best-practices are being followed in ADVEX operations.
  13. With the VP, manage expenses associated with Advancement Services operations.
  14. Manage contracts and vendor agreements with service providers.
  15. Document, maintain, and update policies, procedures, and administrative systems to guide daily operations for ADVEX. Review and amend on a regular basis.
  16. Work closely with the Office of Information Technology to create and maintain dataflow systems with other campus CRM sources.
  17. Provide oversight of ADVEX online giving, crowdfunding, event registration, and e-communication platforms.
  18. Ensure the highest level of customer service for internally and externally focused operations.
  19. Perform other job related duties as assigned.

REQUIREMENTS (Knowledge, Skills and Abilities):
  1. Technical expertise in database management and system tools specifically Raiser's Edge, NXT, Microsoft Access, and SQL.
  2. Experience using services including but not limited to Lexis-Nexis, WealthEngine, iModules, iWave, and Alumni Finder.
  3. Knowledge of IRS and CASE requirements for non-profit fundraising.
  4. Knowledge of data analytics and demonstrated experience preparing, analyzing, and interpreting data.
  5. Demonstrated knowledge of organizational mission and direction; demonstrated knowledge of structure, policies, and procedures.
  6. Strong operational and project management skills; strong organizational skills; utilization of team facilitation and meeting skills.
  7. Execution of planning regimen on an individual, program, and institutional partner level.
  8. Demonstrated skill in staff management and program integration; ability to work in close and effective coordination with internal partners both within and outside Advancement.
  9. Ability to effectively manage multiple priorities.
  10. Ability to prioritize workload according to volume and urgency.
  11. Expert interpersonal and written communication skills.

EDUCATIONAL/EXPERIENCE REQUIREMENTS:
  1. Bachelor's degree is required.
  2. Minimum of five to seven years of progressively responsible professional-level managerial experience in advancement services, including supervisory, budget and leadership experience and/or business experience is required.
  3. Experience in higher education preferred.
